Important Information

  • The registration fees are payable as soon as you receive the payment link after completing the registration. They remain payable within 7 days of the registration submission (but no later than 8 days before the start of the event).
  • Participation is not guaranteed until full payment of the registration fee is received.
  • If you register as a student, you must provide proof of your student status (e.g. a student card including the academic year) by sending a suitable document in an email to sara.migliorini@univr.it and carlo.combi@univr.it with subject “CAiSE student registration for <YOUR NAME AND SURNAME>”.
  • You are eligible for the ‘Student fee’ if you are a student in the academic year 2025-2026. In case you are not able to provide proof within 7 days from the online registration, your student registration will be automatically changed into a regular registration, and you will be charged accordingly.
  • If you are a MSc/PhD student and the presenting author (i.e., the only one among the authors who is present at the event) of a paper accepted at a workshop/co-located event/main conference, then you need to buy a regular registration, regardless of whether or not you are a student.
  • If you are a PhD student and you have been accepted to participate in the Doctoral Consortium, you can register as a student. Remember that the registration must include the main conference.

Cancellation Policy

  • The registration of participation is binding.
  • If you cancel your registration by May 1st, 2026, and you are not a presenting author of an accepted paper, you get 80% back of the registration fee. In all other cases, the financial responsibilities of the participants remain fully effective.
  • Payments will be refunded if the conference is canceled by the organizer. In that case, the organizer will have no further liability to the client. In case the conference must be postponed, registrations remain valid.

Visa Information for International Attendees

International attendees should be particularly aware and careful about visa requirements and should plan travel well in advance. The visa regulations in Italy can be found on the website of the Ministero per gli affari esteri e la cooperazione internazionale, and the visa requirements for each country can be found at https://vistoperitalia.esteri.it/ees.

 

How do I apply for visa

Please calculate approximately 10 weeks processing time for your visa application. Please contact your embassy for more information on the specific requirements for visa applications from your country. We ask for your understanding that we cannot offer visa assistance for family members of CAiSE’26 attendees.

 

How can I get an invitation letter?

For registered participants and authors of accepted papers, we can provide an invitation letter for visas. Please send a email with the request of an invitation letter to sara.migliorini@univr.it and carlo.combi@univr.it with the subject “CAiSE invitation letter for VISA for <YOUR NAME AND SURNAME>”. We will then get in touch with you. We will need the following information from you:

  • Name (as it appears on your passport)
  • Mailing address
  • Passport ID
  • Date of birth
  • Conference registration confirmation number
  • The title of your accepted paper (if applicable)
  • EasyChair ID (if applicable, if you submitted to a workshop, also the workshop name)
  • An email address to which we can send the letter

Please note that it can take up to two weeks to receive the invitation letter.
